BritCham Shanghai 2023 Annual General Meeting

Dear British Chamber Shanghai Member,

The British Chamber of Commerce Shanghai formally announces that the 2023 Annual General Meeting (AGM) will be held in the afternoon of Thursday, 12 January 2023 (exact time will be announced later); please reserve this date in your diary. All motions for consideration must be submitted to James Dunn before Monday, 28 November 2022, by email to james.dunn@britishchambershanghai.cn.

Executive Committee (ExCo) Elections

This notice also signifies the start of the Executive Committee election process. We are seeking nominations for candidates to stand for election for the 2023-2025 Executive Committee. This is when we encourage members to consider taking an active role in helping steer the Chamber by joining the Executive Committee. The duties are not onerous; one ExCo meeting each month; each ExCo member supports one of the Committees and acts as its spokesperson on the committee – the main requirement is enthusiasm and desire to improve the Chamber.

This year, four (4) Executive Committee at-large member positions are up for election. Nominations for these positions must be submitted on the nomination form (download here), and both the proposer and the nominated person must sign the nomination form. 

To stand for election, the candidate must be the Authorised Representative (known as Primary Member in the GlueUp system) for their respective membership. In the case of Platinum, Company and Corporate Members, the Authorised Representative may nominate a substitute from their staff to stand in their place, and if elected, the person will be a full voting member of the Executive Committee. In accordance with the Constitution, nominations will be vetted and approved by a majority vote of the existing Executive Committee prior to issuing the ballot papers. 

2023 Election Timable

The election process includes a four (4)-week canvassing period for the candidates prior to the opening of the voting period.

In accordance with the Constitution, the timetable for the 2023 elections is hereby advised as follows:

• Monday 31 October 2022: Nominations open for the vacant positions on the Executive Committee. Completed nomination forms must be submitted to james.dunn@britishchambershanghai.cn by email.
• Monday 28 November 2022 (at 4 pm): The nomination period closes.
• Thursday 1 December 2022: A list of all the candidates, together with their bios, will be circulated to all voting Members (Authorised Representative) by e-mail and available for review on the website – the canvassing period commences.
• Friday 30 December 2022: The voting period opens.
• Monday 9 January 2023: Voting Period Closes, and the Election Manager/Returning Office will count votes.
• Thursday 12 January 2023: AGM – Results Announced.

All voting shall be by secret ballot, and votes shall be cast via an online voting system. The result of the election will be announced at the AGM. In the event that the number of candidates is equal to or less than the number of elected ExCo member positions to be filled, the returning officer may declare the result without a vote.

Members of the Chamber with a registered and active British Chamber Shanghai Glue Up account are entitled to attend the AGM*; voting Members may nominate a substitute, which must be done formally in writing.
