Notice of 2021 Annual General Meeting and Executive Committee Elections

We are seeking nominations for candidates to stand for election for the 2021-2023 Executive Committee.

The British Chamber of Commerce Shanghai formally announces that the 2021 Annual General Meeting (AGM) will be held on Wednesday, 19 May 2021 at 16:30, please reserve this date in your diary. All motions for consideration must be submitted to the Executive Director before 4 pm, Thursday 8 April 2021 by email to james.dunn@britishchambershanghai.cn.

Executive Committee Elections

This notice also signifies the start of the Executive Committee election process. We are seeking nominations for candidates to stand for election for the 2021-2023 Executive Committee. This is the time when we encourage members to consider taking an active role in helping to steer the Chamber by joining the Executive Committee (ExCo). The duties are not onerous; one ExCo meeting each month; each ExCo Member supports one of the Industry Committees and acts as its spokesperson on the ExCo – the main requirement is enthusiasm and a desire to improve the Chamber.

According to the Constitution, this year, four (4) Executive Committee At-large Member positions are up for election. Nominations for these positions must be submitted on the nomination form (please use the attachment here) and both the proposer and the nominated person must sign the nomination form. To stand for election, the candidate must be the Authorised Representative for their respective membership. In the case of Sustaining, Company and Corporate Members, the Authorised Representative may nominate a substitute from their staff to stand in their place and if elected the person will be a full voting member of the Executive Committee. In accordance with the Constitution nominations will be reviewed by the Executive Committee and after review will be passed to the Returning Officer.

The election process includes a four (4) week canvassing period for the candidates prior to the opening of the voting period.

In accordance with the Constitution, the timetable for the 2021 elections is hereby advised as follows:

  • Wednesday, 10 March 2021: Nominations open for the vacant positions on the Executive Committee – please download the nomination form here – completed nomination forms must be submitted to the Executive Director by email (scanned copy)
  • Thursday, 8 April 2021 (at 4 pm): Nomination period closes
  • Monday, 12 April 2019: List of all the candidates, together with their bios, will be circulated to all voting Members (Authorised Representative) by e-mail and available for review on the website – canvassing period commences
  • Thursday, 6 May 2021: Voting period opens
  • Friday, 14 May 2021: Voting period closes and Returning Officer will count votes
  • Wednesday, 19 May 2021 (AGM): Results announced

All voting shall be by secret ballot, and votes shall be cast via an online voting system. The result of the election will be announced at the AGM. In the event that the number of candidates is equal to or less than the number of elected ExCo member positions to be filled, the returning officer may declare the result without a vote.

Members of the Chamber with a registered and active British Chamber Shanghai Glueup account are entitled to attend the AGM*, voting members may nominate a substitute, which must be done formally in writing. (*Maximum one entrance for SME Member. )
